You are unable to copy them to another storage medium fast enough and email software will most inevitably stop them from being expedited due to the fact that they are to big in size. So in these case you need to make them more compact so that the files will then be more convenient to manage. Compressing files also will save you disk space. For instance, when occupying a group of extensive PDF documents or word documents, if you were to zip them this would greatly reduce the space taken up. This makes easier handling and sending them in email without any problems because they have been reduced in size. If there comes a time when you should have to copy an extensive set of documents to another registry location, it would be too complex to accomplish the copying fast and smoothly if they were to stay as is.
Compressing files can be accomplished with compression or zipping software. There are several kinds of software like WinRAR, 7-Zip, QuickZip, WinAce, Stuffit and several others. Not only can you compress but you can also put many documents into one single zip folder. Ultimately you would be able to zip a complete folder, that contains all your documents that you would like to compress.
Here are the steps for zipping a folder that holds an abundant amount of documents:
Open Winzip and proceed to agree to the terms.
Select “New” to develop a fresh archive (.ZIP).
Insert the storage place of the folder document in “Filename” box. Name the folder and hit “OK”.
Select “Add” and develop a compressed form of the designated folder.
You should be able to file zip in just a matter of minutes. The most used software for compressing files is WinZip. When you are a “newbie” it is advisable to start of with user friendly versions and they will provide many options. The folders will also be protected with your choice of passwords.
